A Message To All Of Our Clients Regarding Your Subscriptions When You Are Able To Re-open

Hi All,

So first of all, we hope that you are all still well and have managed to utilise these past few months to at least evaluate your business and future plan for your re-opening.
(And have a well deserved rest too!)

We know that we have all been working towards the 4th of July for the hopeful re-opening of all salons.

Unfortunately, for our Beauty, Tanning, Nail, Spa & Leisure, Fitness and Tattoo clients in England, this hasn't been the case. So, we will now be keeping your subscriptions frozen for longer than the original date of July the 4th, in-line with the government advice. Further news from us will follow regarding your subscriptions, once we all have some more clarification from the government.

For all of our Hair & Barbering clients in England, it was good news for you and so as originally planned, your subscription payments will resume from the 4th of July, taking in to account any pre-paid credited days, that we will honor from before the lock-down. Therefore your payment may come out after the 4th, if you had a number of days remaining from your previous month.

For all of our Hair & Barbering clients in Scotland, your subscriptions will resume from 15th of July, in line with the Scottish government guidance. The same rules apply as above regarding credited days.

For all of our Hair, Beauty and Tanning clients in Northern Ireland, your subscriptions will resume from 6th of July, in line with the Irish government guidance and following the TSA announcement. The same rules apply as above regarding credited days.

For all of our clients in the Republic of Ireland, we are still awaiting definite clarification in regards to Hair, Beauty and Tanning salons re-opening on 29th of June. If you are authorised to be able to re-open on that date, subscriptions will resume from the 29th of June. The same rules apply as above regarding credited days.

For all of our Salon clients in Wales, we too are awaiting clarification for your re-opening dates, therefore further information will follow for you and payments will currently remain frozen.

Finally, for all of our customers who unfortunately are still unable to open, we will keep your subscription payments frozen for the foreseeable, until we receive further advice from the government.

Please note: when subscriptions are resumed, all payments will be 50% off for the first 3 months, to further support you during this time.

If you however require any assistance or advice during this time, please don't hesitate to contact our team, who are on hand to help you with any queries you may have.

Take care, and we look forward to being able to work with some of you, and eventually all of you again really soon.

Best Wishes,
The Salon Tracker Team x

Activating your Salon Tracker in time for your July 4th reopening!

Hi guys, hope you are all still doing well and are looking forward to getting back to business in early July, I know we are!

With the reopening date for salons now fast approaching, we just wanted to keep you updated with what we’re doing towards this date. And as you are all aware, we have and continue to keep your payments frozen until you are authorised to re-open!

Following your re-opening on July 4th, we will then begin to start reactivating subscription payments, taking in to account your credited days that you had prior to the lock-down. You will also receive a 50% discount on your first 3 months resumed payments, to further help you out during this time.

During the next few weeks however, and as we have continued to say throughout this time, we encourage you to use the software to prepare for your re-opening (and also use our help videos as a refresher for you and your staff to familiarise yourselves with our features again). There is no limit for how long you can use the software for, we still continue to provide this service for free until you are able to open again.

We will also have a dedicated team working on Sat 4th July 10-4, and also Sunday 5th 10-2, to support you across your re-opening weekend.

However, as a lot of you won’t have used your software for quite some time, we would advise you to call us at your earliest convenience before 4th July, to get your activation code to reactivate your software (as a lot of you will see that your software is de-active due to our licensing company not being able to connect each month as your systems haven’t been used). This takes around 5 minutes to re-license; therefore, we encourage you to call us as early as possible to minimise your wait time, due to the volume of calls we may receive.

Our team is still around Mon-Fri 9-5 to help with all re-licensing and also any setups that you may require, or please email info@salontracker.co.uk if you want us to provide you with your activation code beforehand - as we can then send you instructions through on how to reactivate your software simply so that you can begin planning for your open date!

Any questions you may have also during this time please don’t hesitate to contact our team.

We’re really looking forward to working with you all again! And until then, keep safe and take care!

Could An Enterprise Upgrade Benefit You?

Hi guys, hope you’re all still keeping well and enjoying the glorious sunshine! Definitely making these lock down days that slight bit easier.

For those of you that follow our news and social media pages, you will have seen that we are offering a Welcome back offer from the dates that your salons can re-open. To recap, we will be offering you a discount of 50% off your first 3 months software on reopening. This same offer also applies to anyone who is currently on trial with us, or may wish to trial before 4th July!

So, with only a few weeks to go until you are (fingers crossed) able to open your doors fully again for the first time in 3 months, what features does our latest software upgrade have that will really benefit your re-opening?

With social distancing measures and booking restrictions likely to be in place, now could be a great opportunity to trial our Enterprise package, at a 50% discount, to take advantage of our features at a lower price and make your salon re-opening a smooth, hassle-free one!

How can our online Enterprise features help you?

Online Booking:

Allow clients the privilege of being able to make an appointment with your salon, from the 4th July, without having to call up or visit the salon. This way, you stop overcrowding at your reception, can ensure that there are only a limited number of slots available for booking per day and this means that you also have some appointments organised right from the off-set. Instead of a majorly busy phone line on July 4th!

Waiting List Management

For those of you who are barbers and tanning salons, where at least half of your client base may be walk-in only. You can utilise our online booking feature to ensure safe booking slots throughout the day, as a pose to offering your usual walk-in system, which may potentially lead to overcrowding outside your salon. An added benefit for you here is you also capture customer data by offering this service, as they have to create an account with you to be able to book online and reserve an appointment. Great for marketing in the future also and boosting client retention!

Editable Siteview

Provide your therapists and stylists with the ability to be able to track and monitor their own personal booking calendars, where they will now be able to add and edit appointments from their mobile phone or tablet! This eliminates the need for all therapists to have to use the same PC at reception to manage their bookings, as you are providing them with an easier and safer method by allowing them to use their own personal devices.

Unlimited Calendar Tabs

If you are a salon that currently offers a wide range of treatments, for example say you offer hair, beauty, nails and tanning? Our Enterprise package allows you to separate each sector on to different tabs, so that you don’t have to scroll the columns of all your therapists and beds if you have a lot of employees. This just makes the management of each sector easier, and these tabs are also reflected in to categories online when your clients’ book. Meaning they can find the type of treatment that they would like to book quickly, and easily!

So, if our Enterprise package sounds like it would benefit you, we are now offering slots throughout June to get you upgraded and organised in plenty of time before your July opening. Also, we still won’t be charging you until that date, so your upgrade will be free of charge until your salon doors can re-open! Where, as mentioned, it will then be 50% off for your first 3 months.

To enquire about an upgrade, simply email info@salontracker.co.uk and a member of our team will arrange you a slot!

Until then, stay safe and take care!

Salon Tracker Webinar: Join us Thursday 21st May at 11.00am

Morning guys, hope you're all still keeping well and are enjoying this glorious weather we're having right now!

For those of you that joined our last webinar, you'll know that this was just before the most recent lock-down review, where we ran through a few pointers to help for when you are able to reopen.

We also mentioned that we'd be offering 50% off all subscriptions, for the first 3 months from the date set by the government for reopening. I'm sure you'll all be aware we have since had the update, where the proposed reopen date to work towards is the 4th of July. We’ve had a few questions from clients surrounding the re-starting of subscriptions, and how this date may be different in other UK countries, such as Scotland and Northern Ireland. The 4th July date is a provisional date for some of the UK and therefore if your salon is unable to open that date by law, don’t worry, we won’t be charging you individually until the government gives your area the go ahead!

And so, we wanted to clear up any queries that our clients may have and wanted to explain to you how subscriptions will work from there forward. There are also some enhancements we have made with the software in preparation for that time and also, if you are new to us and currently trialling the software, how we are also extending these offers and services to you too.

Want to get a bit more info? We will be going LIVE on zoom tomorrow (Thursday 21st May) at 11.00am! Similar to our previous session, it will last around 30 minutes, consisting of a 15 min webinar and then some time for Q&A at the end! All details are below:

Planning for your re-open date! We will be offering 50% off your first 3 months re-opening payments!

Afternoon everyone! Hope you all had a fabulous bank holiday weekend and have managed to enjoy a bit of the sunshine today. So, with the bank holiday weekend came the latest government announcement, in which this has suggested that salons may be able to re-open from July the 4th dependant on how the situation is at that time.

As much as that is a couple of months off, at least now this has provided a date to work towards, and get things prepared ready for you being able to open those doors once again?

Before we kick-off, we wanted to let you know that we are going to continue supporting you as much as we can financially over the initial re-opening period! We won’t be charging for any subscriptions still before that date, these will remain frozen. Then after you can re-open, we will be crediting all the dates that you had paid for upfront previously; before then offering you 50% off your next 3 months payments on reopening.

So, what do we suggest that you start to plan for over these next few weeks?

We imagine if you are able to open on the 4th, there may be some restrictions and social distancing measures that have to be applied to your business prior to reopening. You will need to have adequate PPE in place for your employees and ensure that there are stricter hygiene measures followed throughout the salon, maybe think about installing sanitising stations on entrance and exit too. We have seen a lot of you have taken out courses to be able to ensure that you are protecting yourselves and salon visitors, which is fantastic and maybe a great qualification to have displayed somewhere in the salon; just to provide that extra piece of mind to your customers.

You may then need to think about your work stations, ensuring these are at least 2 metres apart from the next station, providing extra protection for both your colleagues and customers.

Once you have the operational side of this in place, you may then need to think about how you can manage your bookings, should there be a maximum number of people allowed in the salon at any one time. If you currently offer online booking, we have implemented the ability to be able to block out certain hours/days on your therapist’s columns, which will then reflect online so these slots will be marked as unavailable to book. If you don’t use online booking, or are still not using a software system, you can make sure to still block out certain times on your software calendar, or your appointment book to ensure that your salon will remain within the requirements (whatever they may be as we find out nearer the time).

You can now safely go through your client waiting list and start contacting those customers and provisionally offering them appointment slots from the 4th July! It’s important to stress it is provisional, however; it is great for you to keep in touch with your clients knowing these bookings can also be rearranged easily if needed.

We are then also going to be advancing our Siteview feature, therefore for those of you that currently use our Enterprise package, we will be altering the way in which this feature works. So currently, this allows you to be able to view appointments from a mobile phone or tablet. Now, you are not only going to be able to view them, you can add, edit and remove appointments from within the app itself! Great for therapists managing their own calendars from personal devices, to practice social distancing further by everyone not having to use the main salon reception computer.

We will be going through this on our next webinar, which will be Thurs 21st May at 11.00am, plus a few other ideas that we have had to help you guys as you plan for reopening.

Any questions before then, please don’t hesitate to give us a call on 0113 350 8230 or drop us an email at info@salontracker.co.uk. As much as we have frozen subscription payments, our support is still very much here and for anyone that’s not a member of our Salon Tracker community at the moment, you can also trial our software FREE until you can re-open.

Until next week, stay safe and take care!

Salon Tracker Webinar: Our Top Beneficial Features and How We Can Help You When You Re-Open! Thursday 7th May 11.00am

Morning everyone! Hope you are all keeping well and are still saying safe! We know the lockdown is tough for your salon businesses still being forced to close, but some positivity is, it’s nearly the bank holiday weekend and, it looks like Friday is set to be a scorcher! So what a great excuse to get out in your garden and relax!

But, before the long weekend, we wanted to bring to you another webinar tomorrow. Especially as the lockdown exit plan is to be reviewed and addressed this weekend, we thought this is a great time to catch up about our software features
and also, let you know our plans for when you guys
are able to return to your businesses.

For those of you that are regular followers of our blog, you’ll remember that last week we teamed up with The Salon Magazine to bring to you our top 5 software features! (make sure to check this out in their June issue if you are a subscriber to their mag!) If you didn’t manage to catch it; here’s the link again below:

https://www.salontracker.co.uk/News.aspx?id=The-Essential-5-features-your-Salon-Software-should-have

And so tomorrow, we wanted to do a quick run through of the benefits of these features and how they may perhaps help you out post-lockdown. Now for some of you, a couple of these features are on our Enterprise package, however as I explain what we are going to do for you guys when you are able to re-open the salon, this could be a great time to trial some of these online functions, to see whether it will help in the organisation of what a return to the salon may look like.

So, once the government explain the lockdown exit plan, and we have an idea of when salons are able to open again, we are going to offer all of our customers 50% off their first 3 months from the government-set open date! That means that your subscription will be half the price but all your features will remain the same, just whilst you get yourselves organised and back to normal over those first 3 months. With this being said, obviously the next part is completely up to you guys, but if you felt that you perhaps wanted to trial online booking and being able to monitor the salon from home to perhaps make these times a bit easier? Then you would be able to trial this for half the usual price too for those first 3 months! A little something to think about if you had the spare cashflow to do this, but just an idea and you obviously will still receive the 50% off regardless of your chosen package, or if you choose to stick with your current model. But we’ll go in to what we are going to be doing with our online booking, to adapt to what may be a phased salon return with restricted social distancing measures, in tomorrow’s webinar.

When can you catch this next webinar?

We will be going LIVE on zoom tomorrow (Thursday 7th May) at 11.00am! Similar to our previous sessions, it last around 30 minutes, consisting of a 15 min webinar and then some time for Q&A at the end!
